
Office Manager in Shanghai
Duties and Responsibilities:
Personal Assistant
- Provide secretarial support to CEO & Managing Director.
- Communicate between the CEO and senior management, and liaise with both Beijing & Hong Kong Platform.
- Distribute important message to relevant departments and follow up.
- Handle & assist organize meetings, prepare agenda, update schedule, prepare presentations document, check guest background information and take minutes, etc.
- Handle & follow up travel arrangements, expenses claim, etc,
- Assist and follow up VIP activities, transportation & dinning arrangement.
Human Resource
- Liaise with Beijing HR department to enhance employee handbook.
- Handle employee compensation & benefit, performance appraisals, employment contracts, employee’s turnover & market compensation reporting;
- cope with agency & media for recruitment replacement project.
- Handle employee annual leave applications, medical claims, working visa applications & renewal.
- Regularly update employee profile to collect & update personal data i.e. HKID and travel document for travel arrangement use.
- Employee insurance update & review; i.e. Life, travel & medical insurance, etc.
- Offer counseling to employees on all personnel related affairs.
- Be a departmental Trainer.
General Administration
- Monitor and review administration rules & regulations, enhance policy & procedures also flow chart.
- Carried out general office operation including setting up the new office, relocation & maintenance, printing material, quality & inventory control, purchasing & sourcing corporate gift products, supporting corporate activities.
- Handle budget planning and control, petty cash control.
- Monitor meeting room set-up and catering preparation if necessary.
- Monitor corporate travel arrangements, expenses claim, etc.
- Monitor general office housekeeping and maintenance: such as telephone system, furniture, air-conditioning system, alarm system, pest control, blackberry contract renewal, etc.
- Monitor office stationary supply and price negotiation.
- Monitor administration staff duties and working progress, handle office routine operation, i.e. seating plan update, telephone-listing update, key system updating.
- Monitor office safety control, fire system set up, renewal certification & control.
- Liaise with IT department on blackberry related software upgrade: e.g. VPN, Wind
- To assist investment department assistant about the external investment recourses collecting data, maintain & manage: i.e. Wind, Bloomberg, trial software, etc
- To assist corporate events & activities, e.g. internal meeting, phone conferences, off-site meeting, AGM, in-house training & Festival parties, etc.
- To handle the compliant case, report and solve the problem.
- Handle ad hoc assignment by the senior management and follow through on all matters requiring further action. Reporting regularly to the senior manager about the progress and changed.
